E-Mail Newsletter Program

Targeted E-Mail Newsletters are fast becoming one of the best ways for you to stay in touch with your current membership base, and keep them coming back! It's also one of the most attractive features to online advertisers, as the chances of this direct e-mail being viewed and acted upon by your member are far greater than any other form of online advertising. Combine e-mail newsletter marketing with your site's already-targeted and desirable niche in the gay & lesbian marketplace, and you have the potential to earn some serious advertising revenues.
The following is a summary of the services and costs proposed by Hyperion Interactive Media (H.I.M.) in order to convert your current membership database into one that is securely managed online, as well as work with you in designing and creating your e-mail newsletter template for both plain text and HTML-based e-mail newsletters. This system will then allow you to automatically send out targeted e-mail newsletters to your membership list at any time, providing you significant savings over sending brochures through regular mail, as well as enabling you to use one of today's most successfully proven methods of targeting your members directly.
- Conversion and Database Management: we will take your current information in electronic format and perform a one-time conversion into our online Microsoft SQL database. You will then be able to manage your complete list online through a password-protected online form. You'll be able to add, modify and delete listings, as well as change their e-mail newsletter options for receiving your targeted e-mail newsletters.
Your original contact database files can be in almost any format ranging from FileMaker Pro to Microsoft Excel or Microsoft Access.

Targeting & Profiling: You will receive basic targeting capabilities, allowing you to target your current list based on the categories and fields you already have specified. These can include targeting by zip code range, state, or a specific category you currently have your list broken down by.
Optionally, we can expand upon this feature to will allow you to grow with the success of your e-mail newsletter program. With profiling, your members will be encouraged to fill out an online profile, telling you more about specific topics of interest that are important to you. That way, you will be able to send targeted e-mail newsletters to an even more specific group than you would with the basic targeting described above.
You specify the additional profile questions and topics, and we develop the online form and send out the custom e-mail to your membership list.

Newsletter Templates: we will work with you in developing both a plain text e-mail template and an HTML-based e-mail template. These templates will allow you to go online to your e-mail newsletter administration program and enter the text you would like to send out in your e-mail newsletter. The program will then take that text and format it for both plain text e-mail and HTML-based e-mail, with no further work necessary on your part.
Upon acceptance of this proposal and conversion of your database, we will then send out a one-time test e-mail letting your members know they are on this list, and allowing them the option to both "opt out" if they so choose, as well as change their e-mail settings to HTML. HTML will always be the most desired format to use, as it allows you the greatest flexibility in how your message appears to the end user. Many members aren't able to read HTML-based e-mail, however, and so by default, they will always receive a plain text e-mail until they specify otherwise.

Reporting: you will have access to an online report detailing your e-mail newsletter history. This report will include the date the e-mail was sent out, as well as how many recipients it was sent to. In addition, it will tell you how many received the e-mail in plain text and HTML formats. For those received in HTML format, it will tell you how many recipients actually viewed the e-mail, as well as tell you which members viewed the e-mail and which ones did not.
